The booking terms for every Shree Vishal Travels service — tours, flights, visa, passport and travel insurance — in plain language. The version you accept at booking stays frozen for your booking.

Booking Terms & Conditions — Group Tours & Holiday Packages

These Booking Terms & Conditions (“Terms”) apply to group tours, fixed-departure tours and holiday packages booked with Shree Vishal Travels (“SVT”, “we”, “us” or “our”). By making a booking, paying the registration deposit, signing the booking form, accepting the quotation online or providing written confirmation, the traveller (“you” or “client”) agrees to these Terms. The Terms applicable to your booking are the version and conditions stated on your quotation / booking confirmation at the time your booking is confirmed.

1. Booking & Registration Deposit

A booking is confirmed only after the applicable registration deposit has been received and credited to Shree Vishal Travels. The registration deposit is non-refundable and interest-free, subject to the cancellation terms below. It secures seats, hotel rooms and other travel arrangements that SVT may need to pre-pay or commit to airlines, hotels, transport providers, visa partners and other suppliers on your behalf.

The deposit applicable to a particular tour may differ and, where so stated, the amount printed on your quotation will prevail. SVT may require a higher deposit where airlines, hotels, cruise lines, visa processing or other suppliers require advance or non-refundable payment.

2. Payment Schedule

  • Registration deposit: payable at the time of booking.
  • Balance payment: payable on or before the due date printed on your quotation / booking confirmation, normally 30 days before departure.
  • Bookings made within 30 days of departure: 100% payment at booking, unless otherwise agreed in writing.
  • Payments must be made only to the official bank account or official payment link of Shree Vishal Travels. Never make payments to an employee’s or representative’s personal bank account. Always obtain an official receipt / payment acknowledgement.
  • Cheques are not accepted within 10 days of departure — bank transfer, UPI or card only. A dishonoured cheque attracts a charge of ₹ 500 per instrument, in addition to bank charges.
  • If the balance is not received by the due date, SVT may cancel the booking without further notice and the applicable cancellation charges may be applied.

3. Cancellation by the Client

Cancellation must be communicated in writing — by WhatsApp to the official SVT office number or by email to the official office email address. A telephone call or verbal message does not constitute cancellation. The cancellation date is the working day on which the written cancellation reaches the SVT office during office hours.

  • The percentages above are the minimum applicable cancellation charge, calculated on the total applicable tour cost for the cancelling traveller.
  • If actual non-refundable amounts already paid, committed or charged by airlines, hotels, cruise lines, visa authorities, transport providers, insurers or other suppliers are higher than the applicable slab, the actual non-refundable amount may be charged.
  • Government taxes, GST, TCS and other statutory amounts are treated separately and may be non-refundable where applicable.
  • Visa application / service fees are non-refundable. In case of visa rejection, the cancellation charge is determined by the slab applicable on the date SVT receives written notification of the rejection, together with any actual non-refundable supplier costs.
  • Cruise bookings follow the cruise line’s own cancellation conditions and may be substantially or fully non-refundable.
  • Cancellation charges cannot be transferred to another person or adjusted against a future booking unless SVT agrees in writing.
  • Refunds, where applicable, are processed after SVT receives the relevant refunds / credits from suppliers.

4. Cancellation or Rescheduling by Shree Vishal Travels

SVT may cancel, postpone, reschedule or modify a group departure where circumstances make the original departure impractical or impossible — including insufficient participation, airline or supplier issues, government restrictions, safety concerns or circumstances beyond SVT’s reasonable control.

  • Where SVT cancels a departure by its own commercial decision (for example, insufficient participation), you may choose an alternative departure / date or a full refund of the amount received by SVT for the affected services.
  • Where a departure is affected by force-majeure circumstances (Section 11), refunds are subject to the amounts actually recoverable from suppliers, and SVT will make reasonable efforts to recover and pass on such amounts.
  • SVT is not responsible for independently booked connecting flights, hotels, transportation, visa expenses, leave costs or other consequential expenses, unless otherwise required by applicable law.

5. Price & Foreign Exchange Rate

Domestic tours: quoted and payable in Indian Rupees. Once the booking is confirmed, the quoted INR price is frozen — except for government taxes, statutory levies or other charges that legally or contractually become applicable after booking.

International tours: the price may contain an Indian Rupee component and a foreign-currency component (USD, EUR, JPY or another currency, as specified on the quotation).

  • The foreign-currency component is payable in Indian Rupees at the applicable exchange rate on the date each payment is actually received / credited by SVT. Each payment locks the exchange rate of its own payment date. Exchange-rate movement thereafter applies only to the unpaid foreign-currency balance.
  • Paying earlier locks the rate earlier. If the Rupee strengthens before the balance is paid, the amount payable may reduce; if it weakens, the unpaid balance may increase.
  • The exchange rate shown on a quotation before booking is an indicative / calculation rate unless specifically stated otherwise. The applicable payment-day rate is the rate offered / charged by SVT through its designated banking / payment channel.
  • Airfares, fuel surcharges, government taxes, statutory levies and other supplier-imposed charges that become applicable after booking may be charged at actual cost, with supporting details where reasonably available.
  • Quotations are valid only for the validity period printed on them; airfares, hotel rates, exchange rates and availability may change until the deposit is received and the booking confirmed.

6. Child Policy

  • Infant: below 2 years · Child without bed: 2 to 5.99 years · Child with bed: 6 to 11.99 years · Adult: 12 years and above.
  • Age is determined on the date of return arrival in India.
  • Child pricing, bed arrangements, meals, airline fares and supplements vary by supplier and destination — the child price and conditions stated on the individual quotation prevail.

7. Tour Operation & Itinerary

  • A tour manager normally accompanies group departures of 15 or more guests. Below 15 guests, the tour may operate on a join-in, local-assistance or independent basis, with remote assistance from the SVT office.
  • Hotels are as specified on the itinerary / quotation, or a similar hotel of the same or comparable category where necessary. Specific room numbers, floors, views or connecting rooms cannot be guaranteed unless expressly confirmed in writing.
  • Early check-in and late check-out are subject to hotel availability and may involve additional charges.
  • If a sightseeing attraction is closed or unavailable on the scheduled day, SVT may arrange a suitable alternative where reasonably possible.
  • The sequence of sightseeing, meals, transfers and activities may change due to weather, traffic, local conditions, supplier operations or government restrictions. Such changes do not automatically entitle the traveller to a refund where the overall inclusion remains substantially available.
  • Group members are expected to follow the instructions and timings of the tour manager / local representative.
  • If a traveller voluntarily chooses not to use an included service, no automatic refund is payable unless a refund is actually available from the relevant supplier.

8. Traveller Responsibilities

The traveller is responsible for providing accurate information and documents: full name as per passport, date of birth, passport number and validity, contact details, visa information, photographs and required documents, special assistance requirements, and medical or dietary information where relevant.

  • Any loss, cost, amendment fee or supplier penalty resulting from incorrect or incomplete information supplied by the traveller is payable by the traveller.
  • Travellers must comply with airline rules, hotel rules, immigration requirements, local laws and instructions of the tour manager or local service provider.

9. Travel Documents, Visa & Insurance

  • Passports should be valid for at least 6 months beyond the return date, or longer where required by the destination.
  • The traveller is responsible for providing correct and complete documents within the required timelines; SVT guides at every step.
  • SVT provides guidance and documentation / submission assistance but does not guarantee the grant of any visa. Visa approval, refusal, processing time and conditions are solely at the discretion of the relevant embassy, consulate or authority.
  • Visa fees and applicable service charges are generally non-refundable, including where a visa is refused, delayed or not granted.
  • Travel insurance covering medical expenses, baggage and trip delays is strongly recommended for every traveller — SVT arranges it at the same desk. Coverage is subject to the insurer’s policy terms; travellers aged 60+ may attract additional premium as per the insurer’s age slabs.

10. Personal Data & Document Consent

To arrange and provide travel services, SVT collects and processes personal information and documents including passport details, photographs, identity documents, date of birth, contact information and documents required for visa processing.

By booking with SVT and submitting such information / documents, the traveller consents to SVT using them for purposes reasonably connected with the travel arrangement: airline and hotel bookings, transport and sightseeing arrangements, visa applications and submissions, travel insurance, payment and accounting records, government / immigration / tax / legal requirements, and communication relating to the booking.

  • SVT will not sell the traveller’s personal information, and will not provide it to third parties for unrelated marketing.
  • Information is shared with airlines, hotels, transport providers, visa authorities, insurers, government authorities and other service providers only where reasonably necessary to provide the booked services or meet legal / regulatory requirements.
  • Documents are stored securely; access is restricted to authorised personnel working on the booking.
  • Retention and deletion: documents and records are retained as long as reasonably required for travel, accounting, taxation, legal and regulatory purposes. After that, on the traveller’s written request, SVT will delete the traveller’s documents — except records the law requires to be kept.
  • Subject to applicable law, a traveller may request access to their personal information, correction of inaccurate information, deletion as above, or withdrawal of consent, in writing. Withdrawal before completion of travel may prevent processing of tickets, visas, insurance or other services that require the information.
  • For travellers below 18 years, the parent or legal guardian making the booking provides consent on their behalf.
  • Consent is recorded at booking — through an online acceptance / tick box (including OTP-verified acceptance on WhatsApp or email), a signed booking form, or written confirmation — together with the applicable version and date of these Terms.

11. Force Majeure & Events Beyond Our Control

SVT is not responsible for failure, delay or alteration of services caused by circumstances beyond its reasonable control, including but not limited to: natural disasters, severe weather, floods, earthquakes, war or threat of war, terrorism or security incidents, political unrest, strikes, epidemics or pandemics, government restrictions or orders, border closures, immigration or visa restrictions, airport or airline disruptions, changes in transportation operations, or other circumstances beyond the reasonable control of SVT or its suppliers. In such circumstances SVT will make reasonable efforts to assist travellers and provide available alternatives, subject to supplier availability and additional costs where applicable.

12. Liability

SVT acts as a travel organiser, coordinator and / or agent in arranging services provided by airlines, hotels, transport operators, cruise companies, visa authorities, insurers, local operators and other independent suppliers. To the extent permitted by applicable law, SVT is not responsible for loss, delay, injury, damage, cancellation, inconvenience or failure caused by an independent supplier or by circumstances beyond SVT’s reasonable control.

  • Where a supplier is responsible for a particular service, the traveller may be required to pursue the claim or refund under that supplier’s terms, with reasonable assistance from SVT where appropriate.
  • Subject to applicable law, SVT’s liability is limited to the amount actually received by SVT for the unused portion of the affected services.
  • Nothing in these Terms excludes or limits any liability that cannot legally be excluded or limited under applicable law.

13. Changes Requested by the Client

Any request to change the traveller’s name, travel dates, flights, hotel, room category, itinerary, passenger details or other confirmed services is subject to availability and the terms of the relevant supplier. Applicable amendment fees, fare differences, cancellation charges, administrative charges, visa fees or other supplier costs are payable by the client. A change may be treated as a cancellation and new booking where required by the supplier.

14. Unused Services & No-Show

No refund is automatically payable for services the traveller does not use voluntarily — flights, hotels, meals, sightseeing, transfers or other inclusions. A traveller who fails to report for a flight, transfer, sightseeing activity, hotel check-in or tour departure may be treated as a no-show, and applicable supplier and cancellation charges may apply.

15. Quotation, Booking Confirmation & Prevailing Terms

  • The quotation and booking confirmation contain the tour-specific commercial details: price, deposit, payment due date, inclusions, exclusions and special conditions.
  • The Terms applicable to the booking are those provided / accepted at the time the booking is confirmed. SVT will not materially change the applicable booking rules after payment has been received, except where changes are required by law, government authorities, suppliers, force-majeure circumstances or other circumstances specifically permitted under these Terms.
  • Where a tour-specific condition printed on the quotation conflicts with a general provision of these Terms, the tour-specific condition prevails for that booking.

16. Complaints & Assistance

Any issue during travel should be reported immediately to the tour manager, local representative, hotel, airline or relevant service provider, so there is an opportunity to resolve it during the trip. Formal complaints should be submitted to SVT in writing, with supporting documents, within a reasonable period after completion of travel. SVT will review complaints and coordinate with the relevant supplier where appropriate.

17. Contact for Notices, Cancellations & Data Requests

All written notices — cancellations, complaints, data / document requests and consent withdrawals — should be sent to the official Shree Vishal Travels office WhatsApp number or official office email address printed on your quotation and published on shreevishaltravels.com. Only messages to these official channels count as written notice under these Terms.

18. Jurisdiction

These Terms are governed by the applicable laws of India. Subject to applicable law, disputes arising from a booking with Shree Vishal Travels are subject to the jurisdiction of the competent courts at Navsari, Gujarat.

19. Acceptance of Terms

By making a payment, signing the booking form, accepting the quotation online, clicking the acceptance checkbox, completing an OTP-verified acceptance on WhatsApp or email, or providing written confirmation, the traveller confirms that: the quotation and booking details have been reviewed; these Booking Terms & Conditions were made available; the payment and cancellation conditions are understood; and the traveller agrees to be bound by the applicable Terms. Acceptance may be recorded electronically together with the date, time, phone number / email and the version of these Terms.

Schedule B — Flight Tickets

Our role

SVT books air tickets as a booking agent. The journey itself is governed by the operating airline’s own conditions of carriage, fare rules and policies. Schedule changes, delays, reroutings and flight cancellations are matters of the airline.

Fares, ticketing & names

  • A quoted fare and its taxes are not guaranteed until the ticket is issued. Full payment is required before issuance unless agreed otherwise in writing.
  • The passenger name must exactly match the passport / photo ID. Name corrections after ticketing attract airline fees, may require cancellation and re-booking, and are payable by the client.
  • Low-cost carriers and special web fares may carry their own additional rules, shown at the time of booking.

Service charges

  • Booking service charge: ₹ 250 per ticket (domestic) · ₹ 1,000 per ticket (international) — non-refundable.
  • Cancellation / date-change handling: double the booking service charge — ₹ 500 per ticket (domestic) · ₹ 2,000 per ticket (international) — in addition to the airline’s own charges.

Changes, cancellation & refunds

  • Cancellation or date change by the client follows the airline’s fare rules plus SVT’s handling charge above. Some fares are wholly non-refundable.
  • Change and cancellation requests are accepted in writing only, as per the General Terms.
  • Refunds are passed on after the airline processes them to SVT; timelines belong to the airline.
  • Where the airline changes or cancels a flight, SVT will inform the client and assist with the options the airline offers; SVT is not liable for consequential losses.

Client responsibilities

Reaching the airport in time, web / airport check-in, baggage limits and fees, and carrying valid travel documents (passport, visa, permits) are the traveller’s responsibility. Denied boarding for missing or invalid documents is not a ground for refund.

Schedule C — Visa Assistance

Our role — consultant, not consulate

SVT provides visa documentation guidance, checklist preparation, form filling, appointment and submission assistance. SVT is not an agent of any embassy, consulate or immigration authority. No agency can guarantee a visa. Grant, refusal, processing time, requests for additional documents and interview calls are at the sole discretion of the mission concerned.

Fees — and why they can change

  • Government fees, VFS / processing-centre fees and SVT service charges are non-refundable once the application process has begun — including in cases of rejection, delay or withdrawal by the applicant.
  • Consulate and VFS fees are as applicable on the date of actual submission / payment — not the date of quotation. They are set in foreign currency by the mission and can change with exchange-rate movement or government revision; any difference at submission is payable by the applicant at actuals.
  • Some missions collect their fee directly at VFS / the consulate at submission (cash / card / DD as they specify) rather than through SVT; where so, the applicant pays that fee directly and SVT’s quotation covers the service and assistance charges.

Documents & truthfulness

  • The applicant warrants that all documents and information supplied are genuine, complete and provided on time. False or misleading documents are the applicant’s sole liability, and SVT may withdraw from such a case without refund of service charges.
  • Financial documents collected for the application — bank statements, income-tax returns, property papers — are used only for that application, under the personal-data consent of the General Terms.

Travel risk & attendance

  • Travel bookings made before the visa is granted are at the client’s own risk. SVT may advise on timing; the decision and its consequences remain the client’s.
  • Attending biometrics, interviews and any consulate appointment is the applicant’s responsibility.
  • Passports and documents in transit with couriers or processing centres travel under those providers’ terms; SVT exercises reasonable care in handling.

Schedule D — Passport Assistance

Our role — assistance, government decides

SVT assists with passport application forms, document checklists and appointment booking. Grant of the passport, processing timelines, police verification and appointment availability rest entirely with the Passport Seva Kendra, the Ministry of External Affairs and the police authorities.

  • Government fees are set by the Ministry and are non-refundable. Tatkal processing is subject to appointment availability and the authority’s approval — it cannot be guaranteed.
  • SVT service charges are non-refundable once the application process has begun.
  • Providing accurate personal details, genuine documents, attending the appointment and cooperating with police verification are the applicant’s responsibility.
  • Timelines shared by SVT are indicative, based on the authorities’ normal processing.

Schedule E — Travel Insurance

Our role — the policy is with the insurer

Travel insurance policies are issued by the insurance company through its licensed intermediary; the policy is a contract between the traveller and the insurer. SVT facilitates the purchase and assists with the process. Claims are assessed and decided solely by the insurer according to the policy’s terms, conditions and exclusions. SVT assists with claim documentation and follow-up but has no authority over claim outcomes.

Disclosure — the clause that protects your claim

Correct date of birth, existing health conditions and all material facts must be disclosed by the traveller. An incorrect disclosure can reduce or void a claim. Premiums follow the insurer’s age slabs; travellers aged 60+ may attract additional premium or conditions.

Premium, validity & cancellation

  • Premiums follow the insurer’s live rates at the time of issuance; the policy is effective as per the certificate issued by the insurer.
  • Policy cancellation follows the insurer’s rules. Cancellation handling charge: ₹ 500 per policy (₹ 300 charged by the insurance company + ₹ 200 SVT service charge). Policies are generally non-refundable after the trip has commenced.
  • The traveller should read the policy’s benefit table and exclusions; SVT shares the insurer’s official tables as provided by the insurer.
